In short: the extension only reads from Gmail the emails you select to save at the moment it processes them, and creates the file directly on your computer. Your emails never pass through our servers.

Privacy policy

The extension is not published yet: this policy describes how it will work once it is published in the Chrome Web Store.

1. Who is responsible

This policy applies to the extension “Save Emails as PDF, HTML & TXT for Gmail™ by CarefulTools” (“the extension”) and to this website.

2. Your Gmail emails

  • Permission: the extension asks Google for Gmail's read-only permission. It cannot send, delete or change emails.
  • What it reads: only the emails you select to save in Gmail, and only at the moment you create the file. This includes the text, header data (sender, recipients, date, subject) and attachments of those emails.
  • Where they are processed: on your computer. The extension downloads them from Gmail straight into your browser and creates the document (PDF, HTML or TXT) there, which is saved directly on your computer, in the folder you choose (by default, your downloads folder).
  • What we do not do: we do not send the content of your emails to our servers, we do not store it, we do not sell it, we do not use it for advertising and we do not use it to train artificial intelligence models.

3. Google Drive (only if you turn it on)

If you turn on the Word, Excel or PowerPoint preview, the extension separately asks for a limited Google Drive permission that only gives access to files the extension itself creates. It uploads a temporary copy of the attachment to your own Google Drive so Google can convert it into pages, and deletes it when it finishes. If deletion fails, the extension retries on its own and tells you in Settings (“Retry cleanup”); for that it keeps a record of the account and the operation in your browser. If you remove the permission or uninstall the extension before the copy is deleted, you may need to delete it yourself from Google Drive. If you do not turn on the preview, Google Drive is not used.

4. Images from the internet in emails

Some emails show images hosted on the sender's website. As with any email program, showing them means downloading them from that website, which could see your IP address and the time. The extension adds no tracking of its own. You can turn this off in the extension's Settings.

5. Your CarefulTools account

To recognise you and keep count of your generations, we store on our server (Cloudflare, with data in the European Union):

  • your Google email address and an identifier of your Google account;
  • the date of your first generation (to know whether you are a founder);
  • each generation: the day, and whether it succeeded or failed;
  • the generations you have left and the ones you have bought;
  • a random installation identifier, to prevent abuse of free generations;
  • the accounts you link (up to 5).

We never store which emails you generate, how many, their subjects, senders, attachments or your settings.

6. Payments

Once there are purchases, they will be handled by a payment provider acting as the seller; we will name it here before the first sale. That provider will process your payment data under its own privacy policy. We will never see or store your card details: we will only receive what you bought, when, and with which email address.

7. Data stored in your browser

Your settings, the Google permission and the temporary records of each generation are kept in the extension's storage in your browser. Temporary records are deleted when each generation finishes or is cancelled; if an original could not be added to the PDF, they are kept until you recover it with “Recover original files as ZIP”. If you set a password with “Always use this password”, it is kept in that storage, unencrypted, in your browser.

8. Support

If you write to [email protected], we only use your email to reply to you.

9. Purposes and legal basis

  • Providing the service you ask for (creating your documents, managing your account and purchases): performance of a contract.
  • Preventing abuse of free generations: legitimate interest.
  • Meeting tax and accounting obligations for purchases: legal obligation.

10. Who we share data with

Only with the providers needed for the service: Google (sign-in and the Gmail and Drive access you authorise), Cloudflare (server and website) and the payment provider. We do not sell or share data with anyone else, unless required by law.

11. How long

Your account data, for as long as you keep your account. If you ask us to delete it, we delete it within 30 days, except what the law requires us to keep (for example, purchase records, for the tax period).

12. Your rights

You can request access, rectification, erasure, objection, restriction and portability of your data by writing to [email protected]. If you believe your rights have not been respected, you can lodge a complaint with the competent data protection authority in your country or region.

You can remove the Gmail and Drive permission at any time with “Disconnect” in the extension's Settings or at myaccount.google.com/permissions.

13. Limited Use of Google data

CarefulTools' use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

14. This website

This website uses no cookies, no analytics and no advertising.

15. Children

The extension is not intended for children under 14.

16. Changes

If we change this policy, we will publish it here with the new date and, if the change is significant, we will let you know in the extension.
